Privacy Policy

Ringing Pal is an AI phone-answering and appointment-booking service that trade businesses (plumbers, electricians, HVAC techs, and similar) use to answer their phone, book jobs, and text customers. This policy covers two groups: the business owners who subscribe to Ringing Pal ("Owners"), and the customers who call an Owner's business line and are answered by Ringing Pal's assistant ("Callers").
Information we collect
- From Owners: name, email, password (stored as a salted hash, never in plain text), business phone number, business details you enter during setup (rates, hours, service area), and billing status.
- From Callers: phone number, name, and whatever job details you share with the assistant during a call (e.g. the problem you're calling about, your address, preferred appointment times).
- Call recordings and transcripts of calls answered by the assistant, so the Owner can review call quality and confirm what was discussed.
- SMS messages sent and received in connection with a booking (confirmations, reminders, and any replies).
How we use it
To operate the answering and booking service: answering calls, checking availability, booking and rescheduling appointments, sending text notifications, and letting Owners review their own call history. We do not use call or message content for advertising, and we do not sell it.
Aggregate research use
We may analyze data from calls the assistant answers — including job prices Owners log, call length, and how a call ended — in aggregate, anonymized form to better understand the industries we serve and improve the assistant itself. Examples: the average or median job value for a given trade (plumbing, HVAC, and so on) across every business on the platform, or how call length and early hang-ups vary by trade, which helps us spot things like a greeting that's running too long. This analysis never identifies an individual business or caller: a trade's numbers are only ever published once enough businesses have contributed data in that trade that no single business's numbers could be worked out from the result. This aggregate data is never sold and never shared outside ARForge Labs.
SMS & mobile information
Mobile phone numbers collected for text messaging are used only to send you messages related to your appointment or account, and are never shared or sold to third parties for marketing purposes. Message frequency varies based on your appointment activity — typically a small number of messages per booking (confirmation, and any reminders). Message and data rates may apply. Reply STOP at any time to opt out of text messages, or HELP for assistance.
Call recording
Calls answered by the Ringing Pal assistant may be recorded. The assistant discloses this, and that it is an AI assistant rather than a person, at the start of every call.
Who we share information with
We use a small number of vendors to run the service, and share only what each one needs to do its job:
- Vapi — processes call audio to answer as the assistant (speech-to-text, text-to-speech, and the conversation itself).
- Twilio — the phone carrier and SMS provider behind an Owner's business number.
- Calendar sync — only if an Owner chooses to connect one; booked jobs are pushed to whichever calendar service the Owner picked: Google Calendar, Microsoft 365 / Outlook, or a CalDAV-based service (Apple/iCloud Calendar, Yahoo, Nextcloud, or similar).
- Stripe — processes an Owner's subscription payment. Card and billing details are entered directly on Stripe's own hosted checkout page and never pass through or get stored on Ringing Pal's servers.
- ElevenLabs — two roles: for a Vapi business with premium voice enabled, generates the assistant's spoken responses and, if requested, processes a short voice-clone sample the Owner provides; for a business on ElevenLabs Agents, processes call audio directly to answer as the assistant, the same role Vapi plays above.
- Anthropic — when an Owner uses the typed "add an update" tool on their Setup page (reads the plain-English change they typed to figure out which business-setup fields it affects), and, only if an Owner turns on the optional call-transcript translation setting, to translate a call's transcript and summary for display.
We do not sell personal information, and we do not share it with data brokers or advertisers.
Data retention
Call recordings, transcripts, and appointment records are kept for as long as an Owner's account is active, so they remain useful as a call-quality and job-history record. An Owner can request deletion of their business's data by contacting us at the email above.
Your rights
If you're a Caller and want a copy of, or the deletion of, information Ringing Pal holds about you, contact us at the email above and we'll work with the relevant Owner to resolve it.
Changes to this policy
We'll update the effective date above if this policy changes in any material way.
